Many landlords never send rent invoices, and then struggle to prove what was due and when. A short monthly invoice fixes that, and business tenants often need one before they can pay at all.
| Section | What to put |
|---|---|
| Landlord | Your name or company, and contact details |
| Tenant | Every tenant named on the lease, or the company name |
| Property | Full address including the unit number |
| Rent period | e.g. 1–31 December 2026 |
| Rent | The amount in the lease |
| Other charges | Utilities, parking, service charge — each on its own line |
| Due date | The due date from the lease |
| How to pay | Bank details and a reference, such as the unit number and month |
When you pass on a utility cost, show what it is for and the period, for example "Water — November meter reading". Tenants pay recharges faster when they can see where the number came from.
Only add a late fee if the lease includes one, and check your local rules. Many places limit how much a late fee can be or require a grace period first.
An invoice asks for the rent. A rent receipt proves it was paid, which matters even more when a tenant pays in cash. The generator can make both: switch the document type to Receipt.

No. A rent invoice asks the tenant to pay. A rent receipt confirms that you received the payment. Many landlords send an invoice before the due date and a receipt after payment.
Residential rent is usually not subject to VAT or sales tax. Commercial rent can be, depending on the country and the landlord's choices. Check your local rules or ask an accountant.
A pattern of unit plus month, such as 4B-2026-12, makes every invoice easy to find later and gives the tenant a ready-made payment reference.
For business tenants, yes. For residential tenants it is optional, but a monthly invoice or statement makes it much easier to prove what was due if there is ever a dispute.
