Consulting invoice template

Consulting invoices are approved by people who were not in the room. Whoever signs off your invoice in finance needs to see what was delivered without asking the person who hired you.

Four ways consultants bill

ModelHow it looks on the invoice
HourlyOne line per task or per week, with the hours
Day rateDays × rate. Say what a "day" means, e.g. up to 8 hours
RetainerA fixed monthly fee for agreed availability or scope
Fixed feeOne line per milestone, often as a share of the total

Describe the outcome, not just the time

"Consulting — 12 hours" invites questions. "Pricing workshop with sales team, half day, plus written summary" does not. Name what the client received: the workshop, the report, the model, the review. It also reminds the client of your value every time they look at the invoice.

Common questions

Should consultants charge for travel time?

Agree it before the work starts. Common choices are billing travel time at full rate, at half rate, or building it into the day rate. Whatever you choose, show it on the invoice so it is not a surprise.

How detailed should a consulting invoice be?

Detailed enough that someone outside the project can tell what the company paid for. One clear line per deliverable or per week usually works.

When should a consultant send the invoice?

At the end of each month for hourly or retainer work, and at each milestone for fixed-fee work. Regular invoicing keeps cash flowing and avoids one large, hard-to-approve bill.

What if a client asks for a discount after the work is done?

Show any agreed discount as a separate line or percentage, so your normal rate stays visible on the invoice. That protects your rate for future work.
