Payment reminder email templates

Most late payments are not refusals. They are invoices that were missed, filed wrongly, or stuck waiting for one approval. That is why the first reminder should assume an oversight — it usually is, and an accusing tone makes a simple fix awkward for everyone.

1. Before it is due — the gentle heads-up

Subject: Invoice INV-001 due Friday

Hi [Name],

Just a quick note that invoice INV-001 for [amount] is due on [date]. I have attached it again for convenience.

If anything needs changing before then, let me know and I will sort it.

Thanks,
[You]

This one is optional, but it works surprisingly well. It arrives before anything is wrong, so there is no awkwardness, and it gives them a chance to flag a missing PO number before it becomes a delay.

2. Just overdue — the friendly nudge

Subject: Invoice INV-001 — was due yesterday

Hi [Name],

Hope you are well. Invoice INV-001 for [amount] was due on [date] and I do not think it has come through yet — though it may well have crossed with this email.

Copy attached in case it is easier. Let me know if you need anything from me.

Thanks,
[You]

"It may well have crossed with this email" does real work. It gives both sides an exit if it was already paid, so nobody has to be wrong.

3. A week late — ask for a date

Subject: Invoice INV-001 — payment date?

Hi [Name],

Following up on invoice INV-001 for [amount], now a week past its due date of [date].

Could you let me know when it is scheduled for payment, or put me in touch with whoever handles your payment runs? Happy to resend anything that is missing.

Thanks,
[You]

The shift here is small but important: you are no longer asking whether it will be paid, you are asking when. That is a much harder question to leave unanswered, and it often surfaces the real blocker — a missing PO, the wrong email, or an approver on holiday.

4. Two weeks or more — the formal notice

Subject: Overdue invoice INV-001 — [amount]

Hi [Name],

Invoice INV-001 for [amount], dated [date], is now [number] days overdue. I have not had a payment date despite previous emails on [dates].

Please confirm when payment will be made. As set out in my terms, [late fee / interest] applies to overdue amounts, and I will need to pause further work until this is settled.

Copy attached. I would rather resolve this quickly, so do call if that is easier.

Thanks,
[You]

Only mention a late fee if it was actually stated on the invoice or in your terms. An unstated policy cannot be applied retrospectively, and claiming otherwise weakens your position.

Things that make reminders work

What not to do

Prevent the chase in the first place

  1. Invoice the day you deliver, not at month end.
  2. Ask when their payment run is, and invoice before the cut-off.
  3. Put a specific due date on the invoice, not "net 30".
  4. Include the PO number if they use one — many companies will not pay without it.
  5. Take a deposit from new clients.
